
Night Manager
Principle Responsibilities & Position Purpose
The Night Manager is responsible for overseeing the smooth and efficient operation of the hotel during the night shift, ensuring guest satisfaction, security, and operational continuity. This role also includes performing the night audit — balancing daily transactions, preparing financial reports, and ensuring the accuracy of revenue postings in Opera PMS and Sun System. The ideal candidate will have pre-opening experience, capable of setting up night operations, creating procedures, training the night team, and ensuring system readiness prior to opening.
Key Responsibilities
Pre-Opening Phase
- Assist in the setup and configuration of Opera PMS and Sun System for night audit and financial reporting functions.
- Develop and document Night Audit Standard Operating Procedures (SOPs) and night shift checklists.
- Participate in the recruitment, training, and onboarding of the night team.
- Conduct system testing to ensure accurate data flow between Opera PMS, POS, and Sun System.
- Set up night audit reporting templates and ensure compliance with financial policies.
- Collaborate with Finance, IT, and Front Office teams to establish effective communication channels and audit timelines.
- Support the pre-opening project team in finalizing front office systems, forms, and guest service standards.
- Ensure all safety, security, and emergency procedures are in place before opening.
- Participate in mock operations and soft-opening readiness assessments.
Operational Phase
Guest Relations & Service
- Serve as the Manager on Duty (MOD) during the night shift, representing hotel management in all matters.
- Handle guest complaints, requests, and emergencies promptly and professionally.
- Ensure smooth check-in/check-out operations and handle late arrivals and early departures.
- Conduct regular night rounds to ensure security, cleanliness, and proper functioning of all hotel areas.
- Coordinate with Housekeeping, Engineering, and Security to address any overnight maintenance or safety issues.
- Support VIP arrivals, in-house guests, and special requests, ensuring seamless service delivery.
Night Audit & Finance
- Perform the night audit process to reconcile daily transactions across all departments.
- Verify and post all room charges, POS transactions, and adjustments in Opera PMS.
- Balance cash, credit card, and house accounts; prepare the Daily Revenue Report and Trial Balance.
- Ensure all transactions are correctly interfaced and posted to the Sun System accounting software.
- Investigate discrepancies and ensure corrective action is taken before day rollover.
- Prepare and distribute end-of-day and management reports to relevant departments.
- Reconcile front office floats and ensure cash handling procedures are followed.
Systems & Administration
- Ensure accurate system backups and day-end closure in Opera PMS and POS.
- Monitor system performance overnight and coordinate with IT for any issues.
- Review pending arrivals, departures, and room status for the next day’s operations.
- Ensure all guest data is accurate and properly recorded in Opera PMS.
- Support Finance and IT teams with any audit-related queries.
Safety & Security
- Ensure guest, staff, and property safety at all times during the night.
- Handle emergencies, including fire alarms, medical incidents, and evacuations, following established procedures.
- Maintain the night incident log and ensure proper handover to the morning management team.
- Supervise and coordinate the activities of the night security team and other overnight staff.
Qualifications and Experience
- Diploma or Bachelor’s degree in Hospitality Management, Finance, or related field.
- Minimum 5–7 years of front office or night audit experience in a reputable hotel.
- Minimum 2–3 years in a leadership or supervisory role, ideally as a Night Manager or Assistant Front Office Manager.
- Proven pre-opening experience, including system setup and operational planning.
- Strong proficiency in Opera PMS and Sun System (mandatory).
- Sound knowledge of front office operations, accounting principles, and audit processes.
- Excellent communication, leadership, and problem-solving skills.
- High level of integrity, attention to detail, and ability to work independently.
- Strong analytical and numerical aptitude.
- Flexibility to work overnight shifts and weekends.
