Principle Responsibilities & Position Purpose

The Events Manager is responsible for the planning, coordination, and seamless execution of all hotel events and functions during both the pre-opening and operational stages. The role requires developing event strategies, managing client relationships, and ensuring smooth operations across all banquet and meeting facilities. A strong background in hotel pre-openings, banquet operations, and sales is essential to create memorable guest experiences and drive revenue growth.

Key Responsibilities

Pre-Opening Phase

  • Develop and implement the hotel’s event sales and operations plan in collaboration with Sales & Marketing and F&B departments.
  • Identify and target key market segments such as corporate meetings, weddings, conferences, social events, and exhibitions.
  • Participate in market research, pricing strategy, and packaging for event spaces and offerings.
  • Establish standard operating procedures (SOPs) for event sales, planning, and execution processes.
  • Assist in the design and functionality layout of banquet and meeting spaces to meet operational and client needs.
  • Form partnerships with key vendors (decor, audio-visual, florists, etc.) and negotiate preferred supplier agreements.
  • Collaborate with the Executive Chef and F&B team to develop tailored event menus and packages.
  • Build and maintain a database of potential clients and conduct pre-opening sales calls to secure bookings.
  • Support recruitment, onboarding, and training of the events and banquet operations team.

Operational Phase

  • Manage the complete event lifecycle — from inquiry and planning to post-event feedback and billing.
  • Work closely with clients to understand objectives, budgets, and event expectations.
  • Prepare detailed event documentation and banquet event orders (BEOs) to ensure flawless handover to operations.
  • Coordinate with F&B, Culinary, Housekeeping, and Engineering teams for precise event execution.
  • Oversee on-site event setup, real-time management, and post-event breakdown.
  • Track event profitability and apply effective cost control measures.
  • Promote upselling opportunities across catering, audio-visual, and accommodation services.
  • Maintain strong relationships with key and repeat clients to encourage loyalty and repeat business.
  • Conduct post-event evaluations to assess client satisfaction and identify areas for improvement.
  • Represent the hotel at trade fairs, exhibitions, and industry networking events to promote its event facilities.

Qualifications & Experience

  • Bachelor’s degree or diploma in Hospitality Management, Events Management, or Sales & Marketing.
  • Minimum of 5 years’ experience in events management within a 4–5-star hotel or established events venue.
  • Proven experience managing large-scale events, conferences, and weddings.
  • Strong understanding of banquet operations, catering sales, and event logistics.
  • Proficiency in Opera Cloud, Delphi, or similar PMS/CRM systems.
  • Excellent communication, negotiation, and organizational abilities.
  • Demonstrated leadership and team management skills.
